HubSpot vs Salesforce

API ACCESS / INTEGRATIONS / DATA CONTROL

HubSpot is worth considering when customer-owned CRM integration on Free or Starter meets your needs. Salesforce is worth considering when an API-enabled org, SOQL and retained change events justify its entitlement and administration requirements. The comparison covers documented customer access to CRM records, not a ranking of sales or marketing features.

The practical difference

Stay with HubSpot if its object APIs and export route cover your workflow without a premium-object upgrade. Stay with Salesforce if existing permissions and native configuration already support your work, especially where bounded event replay matters. Before switching, price the exact object and API entitlement, then prove that the destination can use your relationships and business rules. These are documentary findings (no customer tenant was tested).

This comparison covers customer control over HubSpot and Salesforce. The assessment below retains each product, route and source date; product features and native workflows need their own product evaluation.

API entitlement: a low entry barrier versus an enabled org

HubSpot privately distributed apps on Free and Starter have a general limit of 100 requests per ten seconds per app and 250,000 per day across the account. Specific APIs have separate limits, and premium objects need their own entitlement. These published allowances establish a useful entry route, not unlimited access to every HubSpot product.

Salesforce REST requires both an API-enabled org and an API-enabled user. Enterprise, Performance and Unlimited include org API access; Professional can add it through an add-on. Obtain the terms for your edition and expected volume. That plan barrier is distinct from a per-request charge, and these sources do not support a complete subscription-cost comparison.

Your chosen application still needs the right authorization

HubSpot supports a static token for an app installed in one account and OAuth for distributed applications. Marketplace publication is a separate distribution question. Salesforce recommends External Client Apps for new OAuth integrations; creating legacy Connected Apps has been restricted since Spring 2026, while existing ones can continue. An existing integration does not need replacement solely because the new-app route changed.

Choose the authorization route before commissioning an outside tool. In either system, check the user and object permissions required by that tool. HubSpot also requires express customer permission to access customer data, and its developer terms constrain AI development with that data. Permission to connect does not settle every downstream use.

Records and actions: map the CRM model before migrating

HubSpot object endpoints create and update records with properties and associations. Salesforce REST exposes object resources and SOQL queries over permitted fields; some resources require an enabled feature or package. SOQL supports relationship queries and aggregation, but its syntax and object model differ from HubSpot object requests.

For a migration or external application, specify record identifiers, relationship mappings and the exact create/update operations. A successful contact read does not establish that every activity or custom object can move with it. Preserve the business validation behind writes as well as the fields returned by reads.

Sync recovery: Salesforce documents a bounded replay window

Salesforce Change Data Capture documents create, update, delete and undelete events for its supported scope. Platform and change events are retained for 72 hours. Store the last processed replay identifier and reconcile after gaps; retention can reset during maintenance, and the stream is not a permanent archive.

The HubSpot review establishes object retrieval and asynchronous exports, without establishing an equivalent retained replay contract. That evidence limit does not mean HubSpot has no change-delivery products. For the selected integration, require a documented way to detect deletions and recover after an outage before assuming either route maintains a complete external copy.

Exit includes cancellation terms and executable rules

HubSpot exports selected CRM records as CSV, XLS or XLSX, with optional associated-record identifiers. The API permits thirty exports per rolling day and one at a time. Download links expire after five minutes, though another status request can generate a new URL. Salesforce REST and bulk extraction provide structured records. Neither copy establishes complete files, revision history or configuration recovery.

HubSpot Smart CRM and Free Services terms provide no customer-data access after termination or expiration; other Hubs have different terms. Salesforce post-cancellation retrieval remains unresolved in this review. Extract before cancelling. HubSpot retains your ownership of an external integration, but native workflows in either product need separate export, rights and runtime checks.

Before you choose

  • Does our exact edition include the required objects, API access and volume?
  • Which user and application permissions authorize our chosen third party?
  • How will we recover deletions and changes after an outage longer than the replay window?
  • Can we move relationships, files and native rules before our access ends?
