The practical difference
Investigate QuickBooks Online when the selected Accounting API operations fit within your developer workspace’s allowance. Investigate Xero when the connection count, daily budget and egress terms fit the organizations you serve. Choose the accounting product for its accounting requirements, then verify this integration separately (an access grade cannot determine the right accounting treatment or bookkeeping workflow).

Separate the developer bill from the customer subscription
Intuit’s Builder tier has no monthly program fee and includes 500,000 CorePlus calls per developer workspace each month; excess calls are throttled. Silver starts at US$300 per month. The workspace allowance is shared across its production apps, so it is not a fresh quota for each customer company.
Xero Starter has no monthly fee and permits five connections. The published Australian-dollar card lists Core at AUD35 per month for fifty connections, with included egress and additional egress charges on paid plans. These are developer terms, separate from the customer’s accounting subscription; retain currency and route when comparing a quote.

A small multi-company integration reaches different ceilings
For a proposed integration connecting six Xero organizations, Starter’s five-connection ceiling is already insufficient, regardless of how few records each organization has. A QuickBooks Builder evaluation instead needs the combined CorePlus call estimate for the developer workspace. This example compares allowance structure, not equal endpoint coverage or total cost.
Burst limits add another constraint. QuickBooks documents 500 requests per minute per company realm and ten per second per realm and app. Xero documents sixty calls per minute per organization; its pricing page gives Starter 1,000 daily calls per organization, even though the general limits FAQ states 5,000. Use the plan-specific allowance and current response headers.

Verify invoice detail and permitted downstream use
The reviewed Accounting APIs document invoice retrieval and mutation, subject to entity rules and authorization. QuickBooks query responses return at most 1,000 entities per page. Xero invoice queries can return summaries unless you request individual invoices or use the documented paging behavior for line detail.
Xero supports invoice attachment and history operations, but their existence does not establish complete recovery of a company’s documents and audit history. Its developer terms also prohibit using API data to train or fine-tune AI models. Check the intended downstream use separately from customer consent and technical read access.

Current accounting records are a scoped recovery target
Recurring QuickBooks entity queries and Xero modified-since retrieval support selected refresh workflows; they do not establish an indefinite historical event archive. Keep pagination checkpoints and reconcile the required current records after interruptions. Confirm deletion and void-state handling for each entity instead of inferring complete change capture from an update timestamp.
Before retiring either account, validate selected balances and relationship mappings in the retained copy, then inspect PDFs, attachments and historical evidence separately. These reviews do not establish a guaranteed customer cancellation retrieval window or portable native automation definitions. Extract while the company account and application remain authorized.
