Zapier vs n8n

API ACCESS / INTEGRATIONS / DATA CONTROL

Choose n8n when retaining importable workflow definitions and managing them through an API are requirements. Stay with Zapier when your working automations meet the business need and an authorized inventory is enough. The reviewed Zapier route lists Zaps for an embedded integration; the n8n route reads and changes native workflow definitions.

The practical difference

n8n provides the clearer documented path to moving workflow definitions into another compatible instance. That benefit carries credential and runtime setup work. Zapier’s reviewed listing route can support an inventory inside your application, but it does not establish an independently restorable automation. Compare a representative workflow and its dependencies before treating either an API response or JSON file as a complete backup.

This comparison covers customer control over Zapier and n8n. The assessment below retains each product, route and source date; product features and native workflows need their own product evaluation.

Zapier

n8n

Access starts with an embedded integration or an instance key

Zapier’s workflow-retrieval guide requires an integration published in its App Directory and a user access token. This requirement belongs to the embedded route under review; it is not a requirement for simply using Zapier automations. A company wanting an internal workflow inventory must establish eligibility for this particular API.

n8n users create API keys in Settings, choose an expiration and send the key in X-N8N-API-KEY. Enterprise supports scoped keys. The API is unavailable during the free trial, so plan an upgraded account for Cloud API evaluation. Exact Zapier route fees and self-hosted n8n license conditions remain outside the established commercial comparison.

Workflow visibility and workflow mutation are separate grants

Zapier’s GET /v2/zaps supports three visibility scopes: zap selects Zaps using your integration, zap:all selects the user’s Zaps, and zap:account:all reaches the Zaps the user can access in the account. Shared results also depend on the request selection. Expanded step details help describe the automation, but a token with narrow scope cannot supply an account-wide inventory.

n8n exposes workflow definitions with create/update and publish operations. Saving a draft and publishing require different permissions, so check both API-key scopes and project permissions before releasing changes. The Zapier review did not verify writes on its selected listing route; that does not establish that Zapier lacks workflow-creation APIs. Connected business records require separate authorization.

A repeated inventory recovers definitions, not missed executions

Traverse every page of the selected workflow collection. n8n returns nextCursor for subsequent pages; preserve the same selection as you continue. Keep dated copies outside the service so you can compare definitions and identify missing workflows within that scope.

Neither reviewed collection establishes a retained workflow-change feed or a complete execution archive. A fresh inventory can rebuild visible current state (including definitions still accessible to the caller), but it cannot reconstruct deleted payloads or prove that interrupted business actions ran exactly once. Execution recovery needs a separate contract.

An importable definition still depends on a working runtime

n8n exports workflow JSON and imports it into another compatible n8n instance. Exported files can contain credential names and IDs, and HTTP Request nodes imported from cURL can retain authentication headers. Review the file before sharing; preserve credentials and execution history through their own procedures.

Zapier’s returned metadata and permitted step inputs help document what to rebuild, but the reviewed endpoint does not establish an equivalent independent restore. For both products, inventory node or app availability and reauthorize the connected accounts. Native execution rights and post-cancellation retrieval remain unresolved; save the required artifacts while access is active.

Before you choose

  • Can our application use the reviewed API, with visibility over all required workflows?
  • Do we need an inventory, API-driven editing or restoration into another instance?
  • Which credentials and execution records require a separate backup?
  • Can the destination execute our actual workflow with its required integrations?
