Data access and planned exit carry the most weight. Known commercial barriers cap access; an unpublished price applies a bounded discount. Post-cancellation retrieval is a separate disclosure. Open each dimension to inspect its inputs and sources.

CUSTOMER CHOICE

Third-party accessibility

An active invited user creates an OAuth application in My apps. Client credentials are for internal integrations; authorization-code OAuth connects other Help Scout users. Credentials stop working when the associated user is no longer eligible.

Third-party eligibilityCustomer authorization without discretionary provider approvalSource & scope ↗
Access cost barrierAccess is free, or included in the lowest paid plan with no fixed access fee; published usage-only charges are eligibleSource & scope ↗
Downstream permission-Source & scope ↗

Confirm who can connect, who owns the credentials and which uses are permitted. Customer consent and provider approval can be separate requirements; the selected plan and contract still matter.

READ / INTEGRATE

API and export routes

Conversation lists default to active status; migration must select statuses explicitly. modifiedSince and pagination support refresh, while threads and attachments need their own retrieval. Reports and Docs API are excluded; the current attachment download-file route replaces removed web links.

Availability depends on your product, plan and agreement. See the documentation below for the requirements of each route.

ECONOMIC ACCESS

Cost, authentication and limits

Standard includes core Inbox API access at up to 200 calls per minute; Plus and Pro have larger quotas and reporting access. The account shares the quota across users, and write requests count twice.

Check API entitlement, credential ownership and rate limits for the route you intend to use. Include review fees, customer-plan upgrades and ongoing access charges in the total.

ACT FROM OUTSIDE

External action

The Inbox API creates conversations and updates support resources under the associated user’s permissions. OAuth authorization and internal client credentials provide distinct app installation paths.

Validate the supported operation, acting identity and permission scope (read access does not imply write permission). Ambiguous retries and revoked credentials also affect whether an external workflow can run safely.

KEEP ACCESS USEFUL

Continuity

Conversation modified-time queries support polling, and webhooks announce conversation/customer changes and deletes. Webhook V3 preserves system_user identities; V2 normalizes them. Replay retention and a durable consumer checkpoint remain unresolved.

Webhook configuration does not establish replay retention or checkpoints

Create Webhook ↗Webhook configuration does not establish replay retention or checkpointsChecked 2026-10-16

Useful ongoing access includes corrections and deletions, not only the first export. A failed request, changed filter or lost resource permission should not be interpreted as a deleted record.

LEAVE WITH YOUR DATA

Data exit and portability

Conversation records can be copied before cancellation, with threads and attachment contents retrieved separately. API data access does not establish full service restoration or post-cancellation retrieval rights (report downloads cover a different scope).

Test the output against the destination’s required fields and history. Check stable identifiers, relationships, attachments and extraction time; a sample file proves only the coverage of that sample.

BUILD / INSPECT / REUSE

Business logic and customization

Users with Manage workflows permission can define manual workflows that apply several conversation actions. Their authoring path is documented; export rights and independent execution of native workflow definitions remain unresolved.

Custom API access, ownership of workflows and the right to export their definitions are separate questions. A custom-app capability alone does not establish that business rules can move to another system.
