API ACCESS / INTEGRATIONS / COST
Before you build an integration
How do you enable the Propertyware API?
An administrator opens Administration Setup, then API Keys, creates a key and chooses its data permissions. Requests require the client ID, secret and organization ID. The key can be limited to selected entities or read-only operations; confirm the account’s Enterprise/API entitlement first.
How much does Propertyware API access cost?
The published pricing footnote adds $1 per unit per month for Enterprise/API to any package. Basic starts at $1 per unit per month with a $250 monthly minimum, plus an implementation fee of twice the monthly subscription. Units are billed in increments of 50. Confirm the combined subscription, API add-on and minimum in your quote (the API fee is an addition to the base plan).
Can you export data through the Propertyware API?
Yes. Collection endpoints return JSON and support limit/offset pagination, with 100 records by default and a maximum of 500 per page. Document downloads are also defined. Extracting those resources can support migration before cancellation; the documentation does not prove complete history, every attachment or unrestricted reuse.

CUSTOMER CHOICE
Third-party accessibility
Administrators create account API keys and select the data each key can access. Keys can be restricted by entity or made read-only. This is the documented customer integration path; a separate commercial distribution agreement has not been reviewed.
Confirm who can connect, who owns the credentials and which uses are permitted. Customer consent and provider approval can be separate requirements; the selected plan and contract still matter.
READ / INTEGRATE
API and export routes
The REST API documents properties, units, leases, accounting records, work orders and documents. Collection endpoints use limit/offset pagination and resource-specific filters. Document download is explicit, but whole-account history and attachment completeness have not been tested.
| Access route | Authentication | Credential owner | Provider approval | Access requirement | Last checked |
|---|---|---|---|---|---|
| Customer Open API / Enterprise add-on | API key | Customer | No | enterprise/api add-on; administrator creates scoped client id and secret | 2026-10-15 |
Availability depends on your product, plan and agreement. See the documentation below for the requirements of each route.
ECONOMIC ACCESS
Cost, authentication and limits
The pricing page adds $1 per unit per month for Enterprise/API to any package. Basic starts at $1 per unit per month with a $250 monthly minimum; implementation is twice the monthly subscription. Billable units move in increments of 50. Confirm how the add-on and minimum apply to your quote. Requests use an organization ID, client ID and secret; collection pages default to 100 records and cap at 500. The API documents HTTP 429 with exponential backoff, without a confirmed current numeric request-rate quota.
Check API entitlement, credential ownership and rate limits for the route you intend to use. Include review fees, customer-plan upgrades and ongoing access charges in the total.
ACT FROM OUTSIDE
External action
Documented operations create and update leases, properties, bills and work orders, subject to the key’s entity and read/write grants. Some operations remain labeled beta, so validate the exact operation before relying on it.
Validate the supported operation, acting identity and permission scope (read access does not imply write permission). Ambiguous retries and revoked credentials also affect whether an external workflow can run safely.
KEEP ACCESS USEFUL
Continuity
Selected collections expose last-modified date filters for incremental polling. Pagination and those filters support repeat extraction; a durable deletion stream, retained event log and consumer checkpoint contract were not established. A DELETE operation is not a notification that somebody else deleted a record.

|---|---|---|
| Can ongoing extraction identify updates and deleted records on the declared route? | Updates identified; deletion capture not establishedPropertyware customer Open API / Enterprise/API add-on and administrator-created account keys. Date-bounded polling permits overlapping queries for selected resources. No durable event cursor or retention window is established. | Propertyware Open API reference ↗Retrieve all bills / lastModifiedDateTimeStart and EndChecked 2026-10-15 |
Useful ongoing access includes corrections and deletions, not only the first export. A failed request, changed filter or lost resource permission should not be interpreted as a deleted record.
LEAVE WITH YOUR DATA
Data exit and portability
Customers can retain paginated JSON records and download documents while access is active. The published service terms, last updated November 2018, say access to user data ends at termination and impose no preservation or forwarding duty. Verify the agreement governing your account and extract before cancellation (these terms do not establish a grace period).
Test the output against the destination’s required fields and history. Check stable identifiers, relationships, attachments and extraction time; a sample file proves only the coverage of that sample.
BUILD / INSPECT / REUSE
Business logic and customization
The API exposes custom-field definitions and lets external code read and update records. That supports customer applications, but the reviewed documents do not establish export or independent execution rights for native workflow definitions. The published service license limits use to internal business purposes and restricts competitive reuse.
Custom API access, ownership of workflows and the right to export their definitions are separate questions. A custom-app capability alone does not establish that business rules can move to another system.
